We work primarily with independent medical practices across a wide range of specialties including internal medicine, endocrinology, dermatology, neurology, family practice, and more. Whether you’re solo, growing, or managing a multi-provider office, we customize our services to your size, scope, and goals.
We have found that the working relationship matters more than the specialty.
Where is your company based?
Our headquarters is located in Blacksburg, Virginia. While most of our team work in our Blacksburg location we do have some who work remotely. All of our billing, consulting, and support services are performed by our U.S.-based team. We do not offshore any part of our operations overseas.
Do you work with startups or only established practices?
We support both. We have helped multiple practices launch from the ground up, and we’ve helped long-standing offices clean up old processes or scale efficiently. Our services adapt to where you are in your journey.
Is there a long-term contract?
Due to the fact that every new client has their own complexities they are dealing with, we ask clients to sign a 12-month service agreement to ensure consistency and protect the integrity of your billing and consulting operations. That gives us the opportunity to navigate those complexities and prove how good we are. At the end of that term, the agreement renews automatically for a smooth continuation of services — unless either of us decide otherwise. We believe in earning your trust every month, not trapping you in a relationship that no longer fits.
Billing & Revenue Cycle Management Questions
What does your billing service include?
Our billing services cover the full revenue cycle: electronic eligibility verification, claim submission, payment posting, denial management, appeals, secondary claims, patient statements, and monthly reporting. We manage every step — so you don’t have to.
How quickly do you submit claims?
Claims are typically submitted within 24–48 hours of receipt. Fast submission helps accelerate payments and reduce issues with stale claims.
How do you handle denied claims?
We actively monitor all denials and typically begin working them within a day or two from when they are received. We track root causes, submit appeals when appropriate, and communicate patterns so your practice can avoid repeat issues.
Can I still use my own EHR or software system?
We’re experienced with several leading EHR systems, including AdvancedMD, eClinicalWorks, Modernizing Medicine, and EMDs. While we don’t claim to support every platform, this focus allows us to deliver higher-quality service with the systems we know best. If you're using a different EHR, we’re happy to explore compatibility — but we’ll never overpromise just to get the sale.
How do I know how much I’m collecting?
We provide regular reports, financial summaries, and a daily dashboard so you always have visibility into your collections, AR, and performance metrics. Transparency is key to our model.
What specialties do you have experience with?
We’ve supported a wide range of outpatient specialties, including dermatology, neurology, internal medicine, endocrinology, physical therapy, primary care, and numerous other specialties not listed here. We tailor our billing strategies to the specific rules and payer trends of each specialty.
Pricing & Fees Questions
How is billing service pricing structured?
Our pricing model aligns with your practice needs and your state's regulatory requirements. You choose the best structure for your practice - Revenue Based Invoicing; Claims Based Invoicing; or a Flat Monthly Fee. We understand that each practice is unique and will partner with you to meet you where you are. That's how a true partnership works.
Are there any setup fees?
Practices should pay for results, not set up. While we must pass on fixed expenses related to set up if there are any, our goal is to keep up front costs to a minimum.
Do you charge for software or reporting access?
No. All reporting, communication tools, and portal features are included as part of your service package. You will never be billed separately to access your own data.
Practice Consulting Questions
What kinds of consulting services do you offer?
Our consulting includes practice evaluations, staff training, manager development, hiring support, and ongoing leadership coaching. We also assist with EHR transitions and team culture development.
Do you offer one-time consultations or only long-term engagements?
Both. We can provide a one-time evaluation or work with you on a regular basis. Some practices bring us in for a specific issue, while others keep us on retainer for consistent guidance.
What happens during a practice evaluation?
We review your workflows, staffing structure, billing processes, and patient experience. Then we provide a detailed report with clear action steps — so you leave with a plan, not just feedback.
Can you help us hire or train staff?
Yes. We assist with recruiting, resume screening, onboarding, and role clarity. We also provide custom training for front office staff, billers, and practice managers.
Do you provide manager backup or coaching?
We do. If your manager is new, overwhelmed, or needs a second set of eyes, we provide coaching and, if needed, serve as temporary support during transitions or absences.
Getting Started Questions
How do we begin working together?
The first step is a short call to learn about your practice, your goals, and your current systems. If it’s a fit, we’ll send a service agreement and begin the onboarding process immediately.
How long does onboarding take?
For billing clients, onboarding typically takes less than 30 days depending on the complexity of your system, if a data transfer is needed, and your responsiveness for credentialing or access setup. Consulting clients can begin as soon as the first meeting is scheduled.
What do I need to provide to get started?
Usually, we’ll need access to your practice management or EHR system, a few recent reports, and basic credentialing documents. We’ll guide you through the list and handle the heavy lifting.
